Moving Videos from the Zoom Cloud to Kaltura

Loyola provides two major tools related to video: Kaltura and Zoom. Zoom allows for video conferencing, but is not  intended to provide long term storage or delivery of video content.

Kaltura is our platform for storing video content for a longer period of time. For permanent storage of video, we recommend saving to your own computer or an external hard drive.  All Zoom Cloud recordings are copied over to Kaltura automatically, where they are added to the Kaltura account of the meeting host. These copies are accessible to users both in the My Media tab within Canvas and by logging in through sso.loyno.edu and clicking on Kaltura MediaSpace.

Loyola's storage capacity in Zoom cloud is limited. In order to meet the ongoing needs of the University, Zoom Cloud recordings will be automatically deleted 365 days after they were first created. The Zoom Cloud is a short-term solution with limited storage capacity.

What does this policy mean for you?

  • If you use Kaltura to manage your Zoom recordings, or if you have been storing Zoom recordings to your computer, you will not be affected.
  • Any recordings created in Zoom after our integration will have automatically been copied to Kaltura.
  • If you have items in your Zoom Cloud storage that were created prior to Loyola's integration of Kaltura in March, 2021, you may need to move them from short-term Zoom Cloud storage to long-term Kaltura storage.

To back up your Zoom recordings to Kaltura before they are deleted from the Zoom Cloud,
  follow the steps below.

  • Go to loyno.zoom.us, click Sign In and login through SSO.
  • On the left-hand side of your My Account page, navigate to Recordings.

WHAT HAPPENS WHEN A ZOOM CLOUD RECORDING IS DELETED?

When a Zoom recording is deleted, it is transferred from our Cloud storage to the Trash folder. It will sit in the Trash folder for a total of 30 days. 7 days before it is scheduled to be permanently deleted, you will received an email notification. At any point during those 30 days, you can restore the recording. But once those 30 days are up, the recording will be permanently deleted and it will be unrecoverable.

HOW DOES THE ZOOM CLOUD RECORDING RETENTION POLICY WORK?

Zoom Cloud recordings are set to auto-delete after 365 days. That means that 365 days after the recording was made, it will automatically get moved to the Trash folder, where it will be permanently deleted after 30 days. For example, any recordings you made on 01/01/21 will automatically be put in the Trash on 01/01/22. Then on 01/02/22, any recordings you made on 01/02/21 will be moved to the Trash, and so on. To prevent this from interfering with your use of these recordings, you should use Kaltura as your long-term storage and not the Zoom Cloud.
